Lead Automation Workflow
Built around the business problem.
The automation work focused on the gap between receiving an enquiry and actually acting on it. The aim was to remove repetitive admin while keeping the decisions that require human judgement with the team.
What needed to change.
Leads arrived through forms, email and campaign pages, then had to be checked, copied into other tools and manually passed to the right person. Response quality depended on who saw the enquiry first, and useful information was sometimes missing by the time someone followed up.
Strategy before decoration.
We mapped the complete enquiry journey and separated repetitive actions from judgement-based actions. Data capture, formatting, assignment and notifications could be automated; qualification decisions and customer conversations remained with the team.
Designed to work, not just look good.
The workflow standardises incoming lead information, routes enquiries based on defined rules, creates the relevant record, triggers internal notifications and prepares the next follow-up action. AI-assisted steps can summarise or categorise information where useful without making final business decisions on behalf of the team.
Clearer journeys. Better touchpoints.
Customers receive a more consistent response because the internal handoff happens immediately. Staff see cleaner information and know what action is expected next, reducing the need to search across inboxes or copy details between systems.
Work that moves the business forward.
The business has a more reliable process for handling enquiry volume. Repetitive administration is reduced, ownership is clearer and the workflow can be expanded as the team or number of lead sources grows.
